This Privacy Policy explains how the Westborough Youth Soccer Association
("WYSA," "we," "us," or "our") collects, uses, and protects information in
connection with Field Whisper — the scheduling and
communication system used by WYSA volunteers and staff, available as a web
application and an iOS app.
Field Whisper is intended for use by authorized WYSA volunteers and staff
(coaches, field directors, referees, and administrators). It is not a
consumer product and is not directed to children.
1. Information We Collect
Information you provide
Account information: name, email address, and phone number (optional), used to create and manage your account.
Authentication credentials: password (stored only as a salted hash), or a third-party identifier if you sign in with Apple or another supported OAuth provider.
Role and assignments: your role within WYSA (coach, field director, referee assignor, admin) and any team, division, or field assignments granted by an administrator.
Content you submit: practice requests, schedule changes, field closings, maintenance reports, equipment-left reports, and notes you choose to add.
Information collected automatically
Device and app information: iOS version, app version, device model, and language settings.
Push notification token: when you enable push notifications, Apple provides us a device token so we can deliver messages to your device.
Usage and activity logs: timestamps and records of actions you take in the system (e.g., approving a request, editing a schedule), used for audit trails and troubleshooting.
Authentication session data: access and refresh tokens stored securely in the iOS Keychain on your device.
Information we do not collect
We do not collect your precise location. The app may use your device's location only when you tap "Navigate to field," which hands off directly to Apple Maps; we do not receive or store that location.
We do not use third-party advertising or analytics SDKs.
We do not collect data about your contacts, photos, microphone, or camera.
2. How We Use Information
Provide core functionality: authentication, schedules, games, notifications, field closings, and reporting.
Deliver push and email notifications about schedule changes, closings, and related events relevant to your role.
Maintain audit logs required for operational accountability within WYSA.
Diagnose bugs, troubleshoot issues, and improve the app.
Comply with legal obligations.
3. How Information Is Shared
We do not sell your personal information. Information is shared only as follows:
Within WYSA: your name, role, and assignments are visible to other authorized users as required for scheduling and coordination (for example, field directors see which coach submitted a request).
Apple: push notifications are delivered via the Apple Push Notification service (APNs). "Sign in with Apple" is handled by Apple. Directions to fields open in Apple Maps. Apple's handling of this data is governed by Apple's privacy policy.
Email delivery: transactional emails (password reset, notifications) are sent via an SMTP provider.
Service providers: our hosting provider processes data on our behalf under contractual obligations to protect it.
Legal requirements: if required by law, valid legal process, or to protect the rights, property, or safety of WYSA or its members.
4. Data Retention
We retain account information for as long as your account is active. Notification records are automatically pruned on a rolling basis. Archived season data may be kept for historical and operational purposes. You may request deletion of your account at any time (see Section 7).
5. Security
We use industry-standard safeguards to protect your information:
All network communication uses HTTPS/TLS.
Passwords are stored as salted hashes, never in plain text.
Authentication tokens on iOS are stored in the system Keychain with device-only accessibility.
Access within WYSA is limited by role and assignment.
No system is perfectly secure, and we cannot guarantee absolute security.
6. Children's Privacy
Field Whisper is intended for adult volunteers and staff of WYSA. We do not
knowingly create accounts for or collect personal information from children
under the age of 13. The app manages schedules and fields; it does not store
personal information about the minor athletes who play in those games. If
you believe a child has created an account, please contact us and we will
remove it promptly.
7. Your Rights and Choices
Access and correction: you can view and edit your profile from the Settings screen in the app.
Deletion: you can request deletion of your account by emailing [email protected]. We will remove personal information except where retention is required for legitimate operational or legal reasons.
Push notifications: you can disable push notifications at any time in iOS Settings → Notifications → Field Whisper, or within the app's notification preferences.
Sign out: signing out removes authentication tokens from your device.
8. International Users
Field Whisper is operated from the United States and intended for use by
WYSA members located in the United States. If you access the app from
outside the United States, you acknowledge that your information will be
processed in the United States.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will
update the "Last updated" date above. Material changes will also be
communicated within the app or by email.
